1. Who we are
Axcede Corporation provides managed IT, cybersecurity, cloud hosting, application development and disaster recovery services to businesses in Southern California. We are a California corporation, and we are the business responsible for the personal information described in this policy.

2. What this policy covers
This policy covers axcede.us, the forms on it, and the enquiries and newsletter subscriptions that come through it.
It does not cover the data inside systems we administer for a client. When we manage a server, a mailbox, a workstation or a backup on your behalf, that data belongs to you. We handle it as a service provider, acting on your instructions, and our obligations are set by the service agreement and any data processing terms between us. If you are a client asking what happens to data in a system we manage, that is a question about your agreement, not about this page — and we are happy to answer it.
3. What we collect
Information you give us
When you submit a form or subscribe to the newsletter, we collect what you enter: typically your name, business email address, phone number, company name, industry, and whatever you write in the message field. If we go on to work together, we also hold the ordinary records of a business relationship — scopes of work, correspondence, invoices and support tickets.
Information collected automatically
When you visit the site, our hosting and analytics tools record standard technical data: IP address, browser and device type, operating system, referring page, the pages you view, and the dates and times of those visits. This is collected through cookies and similar technologies, and is described in more detail under Cookies and tracking.
Information we do not want
We do not ask for government identification numbers, payment card numbers, health information, or other sensitive categories through this website, and we have no use for them here. Please do not put them in a form. If you send them to us anyway, we will delete them rather than file them.
4. Notice at collection
California law asks us to say plainly, at or before the point of collection, what categories of personal information we collect and what we do with each. This is that notice.
| Category | Examples | Why we collect it | Who it goes to | How long we keep it |
|---|---|---|---|---|
| Identifiers | Name, business email, phone number, IP address | To answer your enquiry, to deliver services, to send the newsletter you asked for | Our CRM and email provider; no one else | Duration of the relationship, then as tax and legal rules require |
| Commercial information | Services enquired about or purchased, proposals, invoices | To quote, deliver, bill and support | Our accounting provider | Seven years, for tax and accounting |
| Internet activity | Pages viewed, referring page, time on site, device and browser | To see which pages are useful and to keep the site secure | Our website and analytics provider | Our providers’ standard retention schedules |
| Professional information | Company name, job role, industry | To understand what you need before we reply | Our CRM | Duration of the relationship |
| Inferences | Which services you appear interested in | To make our reply relevant rather than generic | Our CRM | Duration of the relationship |
| Sensitive personal information | — | We do not collect any through this website. | ||
We do not use or disclose any of the above for purposes other than those listed without telling you first.
5. Why we use it
- To answer your enquiry and to prepare a proposal or scope of work.
- To deliver and support the services you have engaged us for.
- To send the newsletter, if you asked for it.
- To invoice you and keep the accounting records the law requires.
- To understand which pages are useful so we can improve the site.
- To keep the site and our systems secure, and to investigate misuse.
We do not use your information to make automated decisions that produce legal or similarly significant effects, and we do not profile you for advertising.
6. What we never do
- We never sell your personal information. Not for money, and not for anything else of value.
- We never share it for cross-context behavioural advertising. We do not run ad-tech pixels on this site.
- We never use one client’s data to benefit another.
- We never sign you up for the newsletter because you filled in a different form.
7. Cookies and tracking
The site uses two kinds of cookie:
- Necessary cookies that make the site work — keeping a session, remembering a form part-way through, and protecting against abuse. The site does not function properly without these.
- Analytics cookies that count visits and show us which pages are read. These are aggregated and we use them to decide what to write next.
You can refuse or delete cookies in your browser settings, and you can browse this site with analytics cookies blocked.
We honour the Global Privacy Control. If your browser or an extension sends the GPC signal, we treat it as a valid request to opt out of any sale or sharing of your personal information. Since we do neither, the signal changes nothing in practice — but we do not ignore it.
8. Who we share it with
We share personal information only with service providers who need it to do work for us, under contracts that limit them to that purpose and forbid them from using it for their own.
- HubSpot — hosts this website, the forms on it, our email and our customer records.
- Our accounting and payment providers — for invoicing and bookkeeping.
- Our file storage and productivity provider — for documents such as proposals and scopes of work.
We will also disclose information where the law requires it, where we need to establish or defend a legal claim, or to protect the rights and safety of Axcede, our clients or the public. If we are ever compelled to hand over your information, we will tell you unless we are legally barred from doing so.
If Axcede is ever sold or merged, personal information would transfer with the business. You would be told before that happened, and this policy would continue to apply until it was replaced by one you were notified of.
9. Where your data is stored
Our website, CRM and business systems are hosted in data centres in the United States. We do not routinely transfer personal information outside the US. Where a provider processes data elsewhere for support or redundancy, they are contractually bound to protect it to the same standard.
10. How long we keep it
Enquiries and the records that come from them are kept for as long as we have a business relationship with you, and afterwards for as long as we need them for tax, accounting and legal purposes — generally seven years for anything with a financial dimension. Newsletter subscriptions are kept until you unsubscribe. Analytics data follows our providers’ standard retention schedules. Enquiries that never become a relationship are reviewed and cleared out periodically.
When a retention period ends, we delete the information or anonymise it so it can no longer be connected to you.
11. How we protect it
We apply the practices we recommend to clients, because it would be a strange business that did not:
- Access limited to the people whose job requires it.
- Multi-factor authentication on every administrative account.
- Encryption in transit, and at rest where our providers support it.
- Patching on a schedule, not when something breaks.
- Monitored backups that are restore-tested, not assumed.
No system is perfectly secure and we will not claim otherwise. If a breach affects your personal information, we will notify you and the relevant authorities within the time the law allows, and we will tell you what happened rather than what sounds best.
12. Your privacy rights in California
If you are a California resident, the California Consumer Privacy Act as amended by the California Privacy Rights Act gives you the right to:
- Know what personal information we have collected about you, where it came from, why we collected it, and who we disclosed it to.
- Access a copy of that information in a portable form.
- Delete the personal information we hold about you, subject to the exceptions the law allows — we cannot delete an invoice we are required to keep.
- Correct personal information about you that is inaccurate.
- Opt out of the sale or sharing of your personal information. We do not sell or share it, so there is nothing to opt out of, but the right stands.
- Limit the use of sensitive personal information. We do not collect any through this website.
- Not be discriminated against for exercising any of these rights. We will not deny you service, charge a different price, or give you a lower quality of service because you made a request.
How to make a request
Email contact@axcede.us or call (888) 390-6551 and tell us which right you are exercising. We will verify who you are before we act — usually by confirming details we already hold — because handing your data to someone else would be the opposite of protecting it.
We respond within 45 days, and will tell you if we need the further 45 days the law permits. There is no charge. An authorised agent may make a request on your behalf with written permission that we can verify.
If you are not satisfied
Tell us first — most problems are a misunderstanding we can fix. If that does not resolve it, you can complain to the California Privacy Protection Agency or the California Attorney General’s office.
13. Your choices
- Newsletter: every email has an unsubscribe link, and it works immediately. You can also just reply and ask.
- Cookies: block or delete them in your browser settings.
- Global Privacy Control: we honour it, as described above.
- Your record: ask us for a copy, a correction, or a deletion at any time.
14. Children
This site is meant for businesses. We do not knowingly collect personal information from anyone under 16, and we have no interest in doing so. If you believe a child has given us information, contact us and we will delete it.
15. Links to other sites
Where we link to a vendor, partner or resource, that site has its own privacy policy and its own practices. We are not responsible for them, and a link is not an endorsement of how they handle your data.
16. Changes to this policy
If we change this policy we will post the new version here and update the effective date and version number at the top. Material changes — anything that alters what we collect, why, or who we share it with — will be stated clearly at the top of the page rather than made quietly. If the change affects information we already hold about you, we will tell you directly.
17. How to reach us
Questions, requests and complaints about privacy all go to the same place, and a person reads them.
